Terms & Conditions

Amanda Dunbar IBCLC


Booking

Appointments may be booked by telephone, email or online.

Booking an appointment confirms acceptance of these Terms and Conditions.


Fees

Payment is due on the day of your consultation unless agreed otherwise.

Any additional services will be discussed with you before charges are incurred.


Cancellation

Appointments cancelled with less than 24 hours' notice may be charged in full.

Where possible, appointments will be rearranged.


Clinical Care

Advice is based on the information available at the time of consultation and current evidence-based practice.

Breastfeeding support does not replace medical care. You should seek advice from your GP, Midwife, Health Visitor or NHS services if you or your baby become unwell.


Confidentiality

Your information will be treated confidentially and handled in accordance with my Privacy Policy.

Information will only be shared with your consent unless I have a legal or safeguarding duty to do so.


Records

Clinical records are maintained in accordance with professional, legal and insurance requirements.


Complaints

If you are unhappy with any aspect of my service, please let me know as soon as possible. I am committed to resolving concerns fairly, respectfully and promptly.

This Privacy Policy explains how Amanda Dunbar IBCLC collects, uses, stores and protects your personal information.

Amanda Dunbar IBCLC is owned and operated by Amanda Dunbar, who is the Data Controller and is registered with the Information Commissioner's Office (ICO).

As an International Board Certified Lactation Consultant (IBCLC), I am required to practise in accordance with the IBLCE Code of Professional Conduct, which requires me to respect your privacy and maintain confidentiality. What information do I collect?

During our contact by telephone, email, text message, social media, video consultation or face-to-face appointments, I collect personal information including:

  • your name
  • address
  • telephone number
  • email address
  • GP details
  • your baby's name
  • date of birth
  • NHS number

I also collect health information relevant to your consultation, including pregnancy, birth, feeding history and any medical information relating to you or your baby.

This information is required to provide safe, effective lactation support and maintain accurate professional records.


Why do I collect your information?

I use your information to:


  • provide lactation consultations and follow-up support;
  • maintain accurate clinical records;
  • communicate with you;
  • manage appointments;
  • process payments;
  • comply with legal, insurance and professional requirements;
  • safeguard children where necessary.

My lawful basis for processing your information includes:

  • performance of a contract;
  • compliance with legal obligations;
  • your explicit consent where required (particularly for health information);
  • legitimate interests in providing safe clinical care.


Sensitive (Special Category) Data

Health information is classed as Special Category Data under UK data protection law.

Before collecting or processing this information I will obtain your explicit consent unless another lawful exemption applies.

Sharing your information

I will never sell your personal information.


Information will only be shared where necessary and appropriate, including:


  • with your GP, Health Visitor or Midwife, with your consent, to support your care;
  • where I have safeguarding concerns and am legally required to share information;
  • with my indemnity provider or legal advisers if required in relation to a complaint or legal claim;
  • with my accountant, bank, payment provider or HMRC where required for financial purposes;
  • anonymised information may occasionally be used for audit or service improvement.


Any third parties receiving your information are required to keep it secure and process it in accordance with UK data protection legislation.

Data Security

I take appropriate technical and organisational measures to protect your personal information.

These include:


  • locked storage for any paper records;
  • encrypted password-protected electronic records;
  • password-protected devices;
  • up-to-date security software;
  • restricted access to records.


Paper records are scanned into secure electronic storage before confidential destruction.

If a personal data breach occurs that is likely to affect your rights or freedoms, I will comply with my legal obligations to notify both you and the ICO where required.


Data Retention

Clinical records relating to children are retained for 25 years, in accordance with professional requirements.


Financial records are retained for six years to comply with HMRC requirements.

Where appropriate, anonymised information may be retained indefinitely for audit or statistical purposes.


Your Rights

Under UK data protection law you have the right to:

  • access your personal information;
  • request correction of inaccurate information;
  • request erasure where appropriate;
  • restrict processing;
  • object to processing;
  • request data portability;
  • withdraw consent where processing relies upon consent.
